Privacy Policy

Motif is a recovery and wellness coach. It reads the health data you choose to share and turns it into daily guidance. Because that data is personal and sensitive, this policy explains exactly what we collect, why, who it touches, and the control you have over it.

The short version. We collect only what we need to coach you: your account details, the wearable and health metrics you connect, and your chats with your coach. We never sell your data, never use it for advertising, and never share your health data with advertisers or data brokers. You can export or permanently delete everything at any time from inside the app.

1. Who we are

Motif ("Motif," "we," "us," or "our") is the data controller for the information described in this policy. Motif is operated by Motif Labs. If you have any question about this policy or your data, contact us at info@motif.fitness.

2. Information we collect

2.1 Account information

When you create an account we collect your email address and a securely hashed password, or, if you use Sign in with Apple, the identifier and relay email Apple provides. We also store your display name (which defaults to the local part of your email and is editable), and the onboarding preferences you choose: your goals, training frequency, and your selected coach.

2.2 Health and wearable data

This is the core of the service, and we treat it with the most care. Depending on what you connect, Motif may process:

We use this data only to compute your scores, build your trends, generate your coach's messages, and power your dashboard. We never use health data for advertising or marketing, and we never sell it or share it with data brokers. Apple Health data is handled in line with Apple's HealthKit requirements: it is used solely to provide the app's health features and is never used for advertising or shared with third parties for marketing.

2.3 Coach conversations and memory

Your chats with your coach are stored so you can return to them and so the coach has context. To recall things beyond the recent window, Motif stores short long-term "memories" (for example, a weekly metric summary or a milestone) as text and as numeric embeddings in a private, access-controlled database scoped to your account.

2.4 Subscription information

If you subscribe to Motif Pro, the purchase is handled by Apple's App Store using StoreKit. We do not receive or store your full payment card details. We store a record of your subscription status (active, expired, the plan, and renewal dates) so we can unlock Pro features for your account. Apple provides this via signed receipts and App Store Server Notifications.

2.5 Device and notification data

If you enable notifications, we store an Apple Push Notification service (APNs) device token and your time-zone offset so we can deliver your morning check-in and event nudges at the right local time. Notification content is generated from your own data.

2.6 Technical and diagnostic data

We process the minimum technical data needed to run the service securely: authentication tokens, timestamps of syncs, and error logs. We do not embed third-party advertising or cross-app tracking SDKs in Motif.

We process your data to perform the service you asked for, on the basis of your consent (which you grant when connecting a data source and which you can withdraw), and to pursue our legitimate interest in keeping Motif secure and reliable.

4. How your coach generates messages

To produce a coaching reply or check-in, Motif sends a snapshot of the relevant metrics and recent conversation context to a large-language-model provider. This is done from our secure server using your access token. We instruct the model to use only the data provided and never to invent numbers. We do not permit this data to be used to train third-party models. No advertising identifiers are sent. This automated processing produces general wellness content only; it does not make decisions that produce legal or similarly significant effects about you, and it is not a substitute for professional advice.

5. Who we share data with

We share data only with service providers who help us operate Motif, and only for that purpose. These include:

We may also disclose information if required by law, to enforce our terms, or to protect the rights and safety of our users. If Motif is ever involved in a merger or acquisition, we will notify you before your data becomes subject to a different privacy policy.

We do not sell your personal information, and we do not share it with advertisers or data brokers.

We may create and use aggregated or de-identified data (information that cannot reasonably be used to identify you) to operate, analyze, and improve the Service. We maintain such data in de-identified form and do not attempt to re-identify it except as permitted by law.

6. Data retention

We keep your data for as long as your account is active so the service works as intended. When you delete your account, we delete your data as described below. Backups and logs that may transiently contain data are rotated and expire on a rolling basis. We retain only what we are legally required to keep (for example, certain transaction records).

7. Your rights and choices

You are in control of your data. From inside the app (Profile → Privacy) you can:

Depending on where you live, you may also have rights to access, correct, restrict, or object to processing, and to data portability, under laws such as the GDPR (EEA/UK) and the CCPA/CPRA (California). To exercise any right not available in-app, email info@motif.fitness and we will respond within the time required by law. We will not discriminate against you for exercising your rights.

8. Security

We protect your data with industry-standard measures. Data is encrypted in transit (TLS) and at rest. Sensitive credentials, such as wearable API keys and the LLM key, live only on our servers and are never stored in the app. Access to your records is enforced at the database level so one user can never read another's data. We design the app to keep the most sensitive keys off your device entirely.

9. International transfers

Motif's providers may process data in countries other than yours, including the United States. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for these transfers.

10. Children's privacy

Motif is not directed to children and is intended for users 16 and older. We do not knowingly collect data from children under 16. If you believe a child has provided us data, contact us and we will delete it.

11. Medical disclaimer and limitation of liability

Motif is a wellness and informational tool, not a medical service. The Service does not provide medical advice and is not a substitute for professional medical advice, diagnosis, or treatment. Motif is not a medical device and does not diagnose, treat, cure, monitor, or prevent any disease, condition, or injury. Using Motif does not create a doctor-patient relationship.

Always seek the advice of a qualified physician or other health professional before starting, changing, or stopping any exercise, nutrition, sleep, or wellness program, and with any question about your health. Never disregard or delay professional medical advice because of anything in the Service. If you think you may have a medical emergency, call your doctor or your local emergency number immediately.

Your use of Motif is also governed by our Terms of Use & Legal Disclaimer, which set out important provisions on assumption of risk, the accuracy of third-party and automated data, the disclaimer of warranties, and the limitation of Motif's liability. To the fullest extent permitted by law, you use the Service at your own risk and Motif is not responsible for any outcome arising from your reliance on it. Please read those Terms carefully.

12. Changes to this policy

We may update this policy as the product evolves. When we make material changes, we will update the "Last updated" date and, where appropriate, notify you in the app. Continued use after an update means you accept the revised policy.
